Simplify your payout reconciliation and save time ✨ with Qonto's e-commerce and POS payout reconciliation feature. Once a supported provider is connected through our partner Chift, Qonto regularly syncs payout data and generates a structured PDF breakdown for eligible payouts.
The PDF can include the underlying payments or sales, fees, refunds, adjustments, and net payout amount—depending on the information made available by the provider.
It is automatically attached to the matching payout transaction in your Qonto account, making it easier to understand how the deposited amount was calculated and share the relevant details with your accountant.
This feature is available to Owners, Admins and Accountants on 💻 web. Supported providers and the information included in the PDF may vary depending on your Qonto market.
Which payment providers are supported?
Qonto supports automatic payout reconciliation for selected point-of-sale systems, payment processors, and marketplaces through its partner Chift. The providers currently available to you are displayed when you set up the integration in your Qonto account.
Stripe payouts are handled through Qonto's dedicated Stripe integration and do not use this connection flow.
How do I connect a payment provider to Qonto?
You can connect a supported point-of-sale system, payment processor, or marketplace to Qonto without any technical configuration. If you use several supported providers, you can connect each of them separately.
☝️ Connections can only be set up from the 💻 web version of Qonto—this is not available from the mobile app.
To connect a provider:
- Go to Connect in your Qonto web app.
- Search for your payment provider by name.
- Select the relevant connector.
- Follow the authorisation process to grant the required access.
- Click Confirm to complete the connection.
Once connected, Qonto will automatically begin syncing payout data from the provider and attaching the corresponding PDF to matching transactions in your account.
Once the OAuth connection is established, the integration becomes active immediately with no further configuration required. Chift will automatically sync your payout data to Qonto every night around 6:00 AM.
Upon first connection, Qonto imports up to 90 days of historical payout data retroactively. PDF receipts will be generated and attached to the corresponding past transactions, giving you immediate access to recent payout documentation. Only users with Owner, Admin, or Accountant roles have permission to connect.
What information does the PDF receipt contain?
Each PDF receipt provides a complete breakdown of your daily payout for easy reconciliation. The document is structured to include all key financial details you need to match the payout with your sales activity.
The exact information included depends on the data provided by the connected payment provider. For payment processors and marketplaces, the PDF may also include refunds, adjustments, payout references, and a shop or store identifier when available.
The PDF header contains:
- Qonto branding: Qonto logo and legal identity
- Your business details: Company name and address
- Payout information: Account name, payout period, and payout reference
The document body includes a detailed transaction-by-transaction breakdown showing:
- Date of each payment
- Payment reference
- Transaction description (when available from your PoS system)
- Gross amount
- Fee charged
- Fee VAT (when available)
- Gross amount excluding fees
- Refunds and adjustments, when available
- Net amount after fees, refunds, and adjustments
- Shop or store identifier, when provided by the payment provider
- Source or payout reference
The total shown in the PDF must match the amount of the corresponding payout transaction. If the provider does not supply enough information to produce a complete breakdown, some details may not be displayed.
The PDF footer displays totals for the entire payout period, including total gross amount, total gross amount excluding fees, total fees, and total fee VAT when available. Tax or VAT details are only displayed when they are provided by the connected payment provider. The level of detail may therefore differ between providers.
A sourcing mention and legal disclaimer are also included at the bottom of each document.
The PDF is generated in the local language of your Qonto account's market: French for France, German for Germany, Italian for Italy, and Spanish for Spain. The PoS provider is identified by name in the footer, though the provider's logo is not included in this initial version.
When and where can I access my PDF receipts?
Your PDF receipts are generated automatically each day after Chift syncs your payout data with Qonto. For supported providers, payout data is generally synchronised overnight, typically around 6:00 AM, and PDFs are usually available the morning after the payout is received. Synchronisation times may differ for payment processors and marketplaces.
The PDF is automatically attached to the matching settlement transaction in your Qonto account. To find it, navigate to your transaction history and open the detail view of the corresponding payout transaction. The PDF will be visible as an attached document that you can view, download, or share with your accountant.
The time required to generate the PDF may vary depending on the connected provider and when the payout information becomes available. If Qonto cannot identify the matching transaction or the available payout data is incomplete, the PDF may be generated later or may not be attached automatically.
If you've just connected the integration, allow until the following business day morning for your first PDFs to appear. The system needs to complete its first overnight sync before generating receipts. Historical PDFs from the 90-day retroactive import may take up to 48 hours to process completely.
⚠️ Important: The PDF is a reconciliation support document only, not an official fiscal or tax document. The data is reproduced exactly as transmitted by your PoS system via Chift, and Qonto does not certify its completeness or accuracy for tax purposes. Italian customers should note that this document is explicitly not a fiscal document under Italian law and should not be used as such.
What should I do if my PDFs are missing or show incorrect data?
If you don't see PDF receipts attached to your payout transactions, start by checking these common causes. First, verify that sufficient time has passed since connecting the integration—Chift syncs data nightly around 6:00 AM, so PDFs may not appear until the next business day after connection. Second, confirm that you have the correct role permissions (Owner, Admin, or Accountant). Third, ensure you're checking the settlement or payout transaction, not individual sales transactions.
If the payout comes from a point-of-sale system, payment processor, or marketplace, verify the following before contacting support:
- The provider is still connected to Qonto.
- The payout was received in the Qonto account linked to the integration.
- The payout reference and amount correspond to the transaction you are reviewing.
- The connected provider has made the underlying payout data available.
Refunds, adjustments, fees, tax information, and shop identifiers are only shown when they are included in the data transmitted by the provider. Their absence does not necessarily mean that the PDF was generated incorrectly. If all of the above conditions are met and the issue persists, contact Qonto's Customer Care team via chat and provide the relevant transaction reference and payout details.
If the total shown in the PDF does not match the payout transaction, compare it with the original settlement statement in your provider’s account. If the discrepancy remains, contact Qonto Support and provide the payout date, amount, transaction reference, and provider name.
If PDFs are still missing after 48 hours, contact Qonto Support for assistance. When reaching out, provide the transaction date and reference to help the team investigate.
In some cases, your PDF may not display fee information. Fees are only included when complete fee data is available at the time of processing. For certain PoS systems, fee data may not be transmitted in the current integration version, though the PDF will still be generated with available information.
If amounts shown on your PDF don't match what you see in your PoS back office, first verify the data directly in your PoS provider's system. The PDF reproduces data exactly as transmitted by your PoS via Chift. If you confirm a discrepancy exists, contact Qonto Support with the transaction date and reference for investigation.
If you disconnect your PoS integration, existing PDFs that have already been attached to transactions remain accessible in your account. Disconnecting only stops future data syncs—historical documents are preserved.
What data does Qonto access from my PoS system?
When you connect a supported point-of-sale system, payment processor, or marketplace, Qonto receives the payout and payment information required to generate the reconciliation PDF and attach it to the matching transaction. The data is transmitted by our integration partner Chift or, for certain providers such as Stripe, through a separate Qonto integration.
Qonto receives the following information:
At the payout level:
- Payout reference, date, and currency
- Gross payout amount
- Total fees charged
- Fee VAT amount
- Net payout amount
- Refunds and adjustments, when available
- Tax or VAT information, when available
- Shop or store identifier, when available
At the payment level (for each transaction in the payout):
- Payment date
- Payment reference
- Transaction description (when available)
- Gross transaction amount
- Transaction fee
- Fee VAT for the transaction
- Refunds or adjustments
- Tax or VAT information, when available
The exact data received depends on the connected provider. Qonto only uses the information required to generate the payout breakdown, match it with the corresponding transaction, and make the document available in your account.
By connecting an integration, you authorise the relevant provider and, where applicable, Chift to transmit this information to Qonto. Qonto does not receive customer details, product-level information, or sensitive payment information unless this data is explicitly required and supported by the integration.
