As a Manager, how do I manage Supplier Invoices on Qonto?

As a Manager, you have access to the Supplier invoices section. By default, you can see and manage the invoices you personally uploaded.

If your Owner or Admin has granted you the Manage supplier invoices permission, your access expands based on your scope: team-scoped Managers can view and manage invoices from themselves and their team, while company-scoped Managers can view and manage all invoices across the organization.

What can I do in the Supplier invoices section?

On 💻 web and 📱 mobile:

  • Upload invoices
  • Manage invoices within your scope (your own invoices, your team's, or company-wide, depending on your permissions)
  • Edit invoice information scanned by Qonto or add missing details (supplier name, invoice number, due date, payment amount, and description) to prepare the payment
  • Pay by transfer directly, up to your monthly or per-transfer limits, if you also have the Make transfers and reimbursements permission. You can pay eligible invoices via SEPA transfer or international/SWIFT transfer depending on the payment requirements; available invoice details are pre-filled where possible.
  • Request payment for invoices in euros if you don't have transfer permission or the invoice amount exceeds your limits

On 💻 web only:

  • Mark invoices as paid and match them with an existing transaction

☝️ If you have the Make transfers and reimbursements permission, you will also receive payment requests from Employees for approval — both in the Supplier invoices section and the Requests section.

 

How do I pay a supplier invoice if I don't have transfer permission or have reached my limit?

For invoices in euros, you can create a payment request directly from the Supplier invoices section:

  1. From the Imported tab, open the invoice by clicking on it
  2. Fill in the mandatory fields (supplier name, due date, and amount)
  3. Click Request transfer

The Owner, Admin, or an authorized Manager will then receive the request and can:

  • Approve the transfer, it will be executed the next morning and you'll be notified by email
  • Reject the transfer, the invoice moves back to Inbox with an explanation so you can make changes and resubmit

For invoices requiring an international/SWIFT transfer, if you have the required transfer permission, you can pay directly through the international transfer flow. If you don't have permission or the amount exceeds your limits, contact an Owner, Admin, or authorized Manager to process the payment.
