For Essential, Business and Enterprise plan users, our Requests feature allows team members without transfer permissions to initiate a transfer requests on behalf of an Admin, Manager or Owner, who can then approve or reject them in just a few clicks 💪. This makes it easy to delegate payments while keeping full control over who authorizes outgoing funds.
Who can submit and approve transfer requests?
All roles can submit a SEPA transfer request. However, only specific roles can approve them:
- Owner and Admins: Can approve any transfer request.
- Advanced Managers: Can approve requests within their monthly or per-transfer limit, as previously set by the Owner or an Admin.
☝️ The Advanced Manager role is only available through the Team Spend Controls add-on. Managers with the Whole company scope can also initiate transfer requests directly from the Supplier Invoices section.
How do I submit a transfer request?
To submit a transfer request in euros, go to Requests in the main menu and click Make a request in the top right corner of your screen.
You can then choose between two options:
- Upload an invoice: If you have an invoice on hand, upload it directly. Qonto will automatically extract the available information (beneficiary name, IBAN, amount, reference). You can review and edit any field before submitting.
- Add transfer details manually: If you don't have an invoice, fill in the details yourself by following the steps below.
How do I fill in transfer details manually?
If you don't have an invoice to upload, follow these steps:
- Go to Requests and click on Make a request
- Select Sepa transfer in euros
- Choose an existing beneficiary from the list or add a new one
- (Optional) Enable beneficiary notification to send an email to the beneficiary with the transfer details
- Enter the required information: account to debit, amount, category, and reference
- (Optional) Set up scheduling and recurrence to define a future emission date or make the transfer recurring
- (Optional) Add an attachment as a supporting document — required if the amount exceeds €30,000
- Add an internal note explaining what the transfer is about
- Review and confirm your request
💡 If you have Strong Customer Authentication enabled on your account, you will receive a confirmation prompt on your associated phone.
What happens after I submit my request?
Once you submit a transfer request, your Admins and Managers are notified by email and push notification.
As soon as one of them approves your request, it is validated and executed the next morning. You will then receive an email confirming the successful execution of your transfer.
If needed, you can cancel a pending request at any time before it is approved by an Admin or Advanced Manager.
How does instant transfer work for my requests?
One-time, scheduled, and recurring transfers are configured as instant transfers by default.
- One-time transfers: You can uncheck the instant transfer option in the One Last Look step of the flow to send a classic transfer instead (received within 48 working hours).
- Scheduled and recurring transfers: If an instant transfer is rejected due to an amount limit or a technical issue, it is automatically reprocessed as a classic transfer (up to 48 hours to reach the beneficiary's account).
