How do I generate a customer quote?

Negotiate with your clients and present your products and services professionally by creating quotes directly from your Qonto account. A validated quote can be converted into an invoice in just a few clicks, with no need to re-enter any information.

This feature is available on all plans, from the web app 💻 only, for Owners and Admins.

To access quotes, go to Billing Quotes from your computer.

 

How can I create a quote?

From the Quotes section, click Create a quote in the top right corner.

  1. Add a client: create a new client by clicking Add a new client or +, or select an existing client from the dropdown menu. Specify whether your client is an individual or a company, fill in their details and if necessary set the document language (French, English, Spanish, Italian, German).

💡To comply with regulations on the language of documents addressed to French clients, we recommend selecting French for any client registered in France.
 

  1. Fill in the quote details:
  • Issue date and expiry
  • Quote number
  • Items: title, description (optional), quantity, unit (optional), unit price, VAT rate, discount (optional)
  • Additional notes (optional): payment terms, sector-specific requirements, additional information about the products or services

If you benefit from a VAT exemption, select 0% in the VAT field for the relevant item, then choose the exemption reason from the dropdown menu. If no reason matches your situation, leave this field empty and specify the exemption details in the "Additional notes" field.
 

  1. Customise the quote: click Settings in the top right corner to add your logo, set the sender email address and configure numbering. See this article for details on numbering.

The "Save as draft" button is checked by default each time a quote is opened. Uncheck it manually if you want to finalise and send the document immediately.

☝️ Changes made in Settings only apply to future documents. Already issued quotes are not updated.

 

How can I send and track my quotes?

Once your quote is created, you can send it directly by email to your client from Qonto, or download it as a PDF to send via your own channels.

From your quotes list, each document displays its status: Pending, Validated or Cancelled. You can at any time view, edit (if pending) or duplicate an existing quote.

Automatic reminders: you can schedule automatic reminders for quotes pending validation. This feature is only available with the Account Receivable module.

Electronic signature: you can request the electronic signature of your quote directly from Billing Quotes "Request an electronic signature". This feature is only available with the Account Receivable module.

 

How can I convert a quote into an invoice?

Once your quote has been validated by your client, you can convert it into an invoice in one click from the quote page. All information (client, items, amounts) is automatically carried over — no re-entry needed. You can then adjust the dates and add any invoice-specific elements before issuing it.
