How does the Gmail Integration work?

Connect your Gmail account to Qonto and we will automatically retrieve invoices and receipts from your inbox, importing them directly into your account. No manual downloading or uploading required — your documents appear in Qonto automatically, saving you valuable time.

This feature is available on all subscription plans for Owners, Admins, and Accountants through the web application.

How many Gmail integrations are available?

Qonto offers two separate Gmail integrations, each targeting a different type of document:

You can install one or both integrations depending on your needs.


How do I connect my Gmail account to Qonto?

From the Invoices section:

  • Go to Supplier Invoices
  • Click Connect Gmail or Import Invoices
  • Click Connect and authenticate with your Gmail account using Google's secure OAuth flow
  • Grant Qonto permission to access emails containing relevant documents

From ⚙️ Settings > Integrations & Partnerships:

  • Look for Gmail - Automatic Invoice & Receipt Imports or Gmail - Automatic Supplier Invoices Import
  • Select the one you want and click to install
  • Authenticate with your Gmail account using Google's secure OAuth flow
  • Grant Qonto permission to access emails containing relevant documents

Can I import past documents from my Gmail?

  • Yes! Choose a backfill date (up to 90 days in the past) from when Qonto should start retrieving documents
  • Qonto will scan your inbox from that date forward to identify relevant emails


What happens after I connect my Gmail account?

  • Every three hours, Qonto automatically checks your Gmail inbox for new emails that might contain relevant documents
  • When qualifying documents are identified, they are automatically extracted and imported into your Qonto account
  • Documents appear in the relevant section of your Qonto app without any action required from you


Which emails does each integration scan?

Both integrations only scan emails located in your inbox, within the configured date range. Emails in your trash, spam, or sent folders are never scanned.

To protect your privacy, Qonto does not scan all your emails — only those that are likely to contain a relevant document. Each integration looks for emails that have an attachment and whose subject line or attachment filename contains keywords related to the type of document it handles:

  • The Supplier Invoice integration looks for keywords related to invoices and credit notes (e.g. "invoice", "facture", "rechnung"…)
  • The Invoice & Receipt integration looks for keywords related to receipts (e.g. "receipt", "quittance", "recibo"…)

Keywords are matched across the languages supported by Qonto.


Which files are imported from each email?

Regardless of which integration you use, Qonto applies the same rules when deciding which files to import from a qualifying email:

  • Supported file types: PDF, JPG, JPEG, and PNG
  • Only true file attachments are imported. Images embedded or displayed inline within the email body — such as company logos, email signatures, banners, or marketing images — are not imported, even if they are the correct file type.
  • Duplicate prevention: If an attachment has already been imported, it will not be imported again.

💡 Tip: To make sure your documents are picked up, ask your suppliers or partners to send files as file attachments (not embedded in the email body).


Specific to the Supplier Invoice integration:

  • Attachments whose filename contains a receipt-related keyword (e.g. "receipt", "quittance", "recibo"…) are automatically excluded, even if they are attached to an otherwise qualifying email. This integration focuses exclusively on invoices and credit notes.
