What are Projects and how do they streamline your sales process?

For businesses with advanced sales workflows, the path from initial client contact to quote generation is often complex and extended, involving multiple negotiation steps. Until now, managing sales and quotes has been a fragmented process, resulting in manual work and inefficiencies that slow down your sales cycle. To address these challenges, Qonto has introduced Projects: a centralized solution that brings together quotes, invoices, and client information in one place, empowering you to seamlessly track and manage sales opportunities from the earliest stages through to payment completion.

Projects is exclusively available for Account Receivable add-on users with Owner, Admin, or Manager roles who have client invoice permissions. This feature is accessible in all markets except Portugal, with full functionality available on web and mobile.

How does the Projects feature work?

To access Projects, navigate to Invoices > Projects in the Qonto web app. This centralized dashboard provides a comprehensive view of all your sales projects with key information displayed at a glance:

Project information includes the project name and associated client, while the Status field offers 6 default statuses with the option to create custom ones.

The Suggested action feature proactively notifies you of recommended next steps based on linked documents, with weekly push notifications reminders sent every Monday at 2 PM (actions can be dismissed if not relevant).

Notes provide an optional field for additional comments or context (> add notes), while the Documents section displays the count of associated quotes and invoices. You can create and link documents in three ways: directly from the Projects section, by linking existing invoices or quotes to a project, or from the client list when creating documents.

The Payments section automatically updates to show total expected revenue, calculated from all linked client invoices and their payment statuses.

Closing date is an optional field for project completion, and Owner designates the assigned team member (limited to Owner, Admin, or Manager roles with client invoice permissions).

The interface also includes filtering options by Status and Suggested action to help you quickly find relevant projects.

How do I create a new project?

Creating a new project is straightforward - simply click the Create project button located at the top right of the Projects section. This flexibility allows you to organize your sales opportunities effectively, and you can create multiple projects for the same client to handle different deals or opportunities simultaneously.

How do custom statuses work for my projects?

Project statuses help you organize and track your sales pipeline according to your specific workflow. While Qonto provides default statuses that cannot be deleted, you have complete control over creating custom statuses that better reflect your business processes.

💡 To add a new status, simply click + Add status and define the status that matches your needs, and you can also sort the order to visualize them in a way that reflects your business workflow.

Custom statuses offer flexibility in managing your workflow, and you can delete them at any time when they're no longer relevant to your process.

However, it's important to understand that statuses work globally across your entire Projects system. This means that if you delete a custom status, it will be automatically removed from every project where it was previously used, so consider this impact before making changes.

The assignment of statuses to projects is entirely manual, giving you full control over how you categorize and track each opportunity. This manual approach ensures that each project status accurately reflects its current state in your sales process.
