What is Verifactu and how does it work with Qonto?

Verifactu is the system that regulates the technical requirements that software used to issue invoices in Spain must meet, guaranteeing the integrity, traceability, and immutability of billing records. Qonto's invoicing tool meets these technical requirements at no additional cost to you.

⚠️ Verifactu should not be confused with the obligation to issue B2B electronic invoices arising from the Crea y Crece Law: these are separate regulations, with different requirements and timelines.

Verifactu is available on all Spanish Qonto plans, on both 💻 web and 📱 mobile.

 

When is it mandatory to use software adapted to Verifactu?

The current deadlines for adapting invoicing IT systems are:

  • Before January 1, 2027: for entities subject to Corporate Income Tax.
  • Before July 1, 2027: for self-employed workers and the remaining taxpayers covered by the regulation.

Keep in mind that the regulation may not apply in the same way to all businesses. If your business is under the Immediate Supply of Information system (SII) or subject to regional regulations — such as TicketBAI in the Basque Country or the system applicable in Navarre — check with your accountant or the AEAT to confirm how it affects your situation.

Regarding certification, there is no official certification issued by the AEAT for invoicing software: compliance is certified through a declaration of conformity from the provider. You can check Qonto's declaration on our legal documentation page.

 

How do I activate Verifactu in Qonto?

To activate Verifactu, go to Settings → E-invoicing and accept the terms authorizing Qonto to transmit your billing records to the AEAT. Any team member can complete this step.

This authorization is essential: simply creating invoices with Qonto does not automatically activate their transmission via Verifactu. If you decide not to grant the authorization, you can still use the invoicing features, but your records will not be sent to the AEAT.

If you want to withdraw the authorization later on, contact our Customer Care team. Invoices already transmitted to the AEAT are not deleted or affected.

 

How does Verifactu work once activated?

Once the authorization is activated, the process runs in the background without interrupting your usual workflow. For each invoice you create:

  1. Qonto generates the billing record and the corresponding QR code.
  2. The required data is automatically transmitted to the AEAT.
  3. The invoice shows a pending or in-progress status while the AEAT validates the record.
  4. The status is updated to indicate whether the record was accepted or rejected.

You can check the submission status at any time from Qonto. You can also use several Verifactu-compatible invoicing programs at the same time, without this affecting how the system works.

 

What information must my invoices include?

Before issuing an invoice, check that your company's and your client's details are correct. Missing mandatory information or an incorrect tax ID can prevent the record from being processed correctly. In particular, review:

  • The name or company name.
  • Your company's tax ID.
  • The client's tax ID, when applicable.
  • The description of the products or services.
  • The taxable base.
  • The VAT rate and amount.
  • Withholdings, when applicable.
  • The dates and invoice number.

 

What happens if I need to correct an issued invoice?

An issued invoice must not be modified or deleted directly, even if the AEAT has not yet responded. Corrections must preserve the traceability required by the regulation.

To correct any error, open the invoice and select Cancel with a corrective invoice. Follow the steps shown and select Create corrective invoice to generate the new invoice and send it to the AEAT. This procedure applies both if the AEAT has rejected the record and if you spot an error before receiving a response.

Among the most common causes of rejection are:

  • An incorrect or invalid tax ID.
  • Incomplete tax information.
  • Incompatible or incorrect VAT data.
  • Inconsistencies in the invoice information.

 

What doesn't Verifactu cover?

Verifactu regulates how billing records are generated and transmitted, but it does not replace your usual tax obligations:

  • It doesn't replace your tax returns. Qonto transmits the billing records associated with Verifactu, but it does not file forms such as Model 303, 130, 115, or 349 on your behalf. Your accountant remains the one who helps you with these obligations.
  • It's not the same as mandatory electronic invoicing. The Crea y Crece Law regulates the issuance of electronic invoices for certain B2B transactions. Although both initiatives are part of the digitalization of invoicing in Spain, they are separate regulations with different timelines.
