Automate the collection of your supplier invoices, pay your suppliers in just a few clicks, and reconcile your documents to transactions — all from a centralised space. Once an invoice is matched to a transaction or its payment has been initiated, Qonto automatically removes it from your waiting list, leaving only the documents that require your attention.
This feature is available on all plans, via the web 💻 and mobile 📱 apps, for Owners, Admins, Managers (with access permission to the section and "Entire company" scope) and Accountants (read-only access).
⚠️ Employees do not have access to this section. The Supplier Invoices section is separate from the Customer Invoices section: it cannot be used to process invoices you issue to your own clients.
How to access this section?
From the web app 💻: go to Invoices Supplier Invoices in the navigation menu.
From the mobile app 📱: tap More in the bottom right, then select Invoices Supplier Invoices.
At the top of your screen, a dashboard gives you a real-time overview of:
- Invoices in your inbox (pending processing)
- Invoices for which a payment is scheduled
- Invoices settled over the last 30 days
You can also set up multi-level approval workflows to maintain control over large amounts. These workflows are available through the Supplier Invoice Management and Customer Invoice Management modules. (Learn more)
How do I collect my invoices?
From your computer: use the Add an invoice button or drag and drop directly into the section.
Via Google Drive or Dropbox
Via the Gmail integration
By forwarding email address — two addresses available depending on the use case :
- pay-xxx-xxx@inbox.qonto.com → for invoices to be paid : appears in the To pay tab.
- receipts-xxx-xxx@inbox.qonto.com → for receipts to be matched: Qonto automatically attempts to match them.
- If successful → Tasks Document Review Resolved. If unsuccessful → Tasks Document Review To process.
⚠️ Find your two personalised email addresses directly from the Supplier Invoices section in the forwarding settings.
By syncing attachments from your transactions.
"Document Review" section: since September 2025, all documents imported by email are automatically categorised into four types: Invoice, Receipt, Credit note and Other.
You can filter by type to process your documents more quickly. Accessible:
- On the Basic plan: directly in the left navigation menu
- On Smart and higher plans: via Tasks Document Review
Invoices and receipts added manually to your transactions from Business account Transactions do not appear in your Supplier Invoices space.
How do I pay and match my invoices?
From the To pay tab, click on an invoice to view the automatically extracted information. Verify that the details (supplier, IBAN, amount) are correct before proceeding. Two options are then available:
Mark as paid: if the invoice has already been settled, select the corresponding transaction from Qonto's automatic suggestions, search for it manually via the search bar, or click Continue without a transaction if the payment was made outside of Qonto.
💡 From the Transactions section, you can also search for invoices using the Search on Qonto option.
Make a transfer: Qonto redirects you to the transfer process (SEPA, international, instant or scheduled). Until the transfer is executed, the invoice remains in the Scheduled payment tab.
💡 Eligible customers can also use the Pay Later option to finance the payment of their invoices.
Bulk payments: select multiple unpaid invoices by ticking the corresponding boxes, click Pay, review the consolidated summary and confirm all payments in a single action. Qonto automatically matches each invoice to the corresponding transaction.
⚠️ You cannot make bulk transfers outside the Supplier Invoices section, pay by card, or set up SEPA direct debits.
To cancel an existing match, find the invoice in the Completed tab, open it and click X to remove the linked transaction.
For supplier credit notes, Qonto automatically matches the credit note to the corresponding transaction and moves it to the Completed tab. If no automatic match, click "..." next to the line and select Match a transaction.
How do I manage and organise my invoices?
Search and filters: filter your invoices by supplier, due date (overdue or upcoming), duplicates, documents not recognised as invoices, or missing details. Use the search bar to search by supplier name or invoice number. Click on column headers (Supplier, Status, Due date) to sort.
Avoiding duplicates: during import, Qonto automatically flags potential duplicates. Click Review your invoices in the notification to compare documents and decide whether to keep or delete them.
Delete an invoice: click the 🗑 icon in the top right of the invoice to delete it from any tab. ⚠️ Deletion is not possible if a payment is scheduled or if an auto-invoice has already been generated. Cancel the scheduled payment first.
Manage your suppliers: from Supplier Invoices Supplier list, find, edit or archive your suppliers. Click on a supplier to open their profile and access the Edit or Archive options.
What should I do if I encounter an issue?
I want to add a payment notice as a supplier invoice.
Payment notices are not recognised as invoices by our system. First make the corresponding transfer, then manually add the payment notice as a supporting document on the transaction from Business account Transactions.
My invoice is written in a currency not supported by Qonto.
Direct payment from the Supplier Invoices section is not possible. Ask your supplier for a version in an accepted currency and proceed via an international transfer. Find the list of accepted currencies in this article.
